Data Export and Print Options in Ninety

Ninety supports PDF and spreadsheet exports for most tools. This article explains what can be exported, by whom, and what to do when you can't find the option you're looking for.

Ninety allows you to export your team's data to PDF and spreadsheet formats from most tools. Exports are generated based on what you're currently viewing, including: 

  • The team you have selected.
  • The date range applied.
  • Whether archived items are toggled on. 

 

There is no single "export everything" button; each tool is exported separately. Owners, Admins, Managers, and Team Members can export from the tools they have access to. Observers cannot export data.

 

What you can export from Ninety

The table below is a quick reference for every tool that supports export, the format it produces, and where to find the option.

Exporting to PDF

Most tools in Ninety display a PDF icon on the far right of the filters bar. Clicking it generates a print-ready PDF of what's currently visible on screen.

 

Exporting your Scorecard data to a PDF to print

The Scorecard tool's ellipsis menu is open, showing four options — Settings, Edit group order, Merge all groups, and Export as CSV and Print PDF (highlighted with a green box). To export Scorecard data to a PDF to print:

  1. Navigate to the Scorecard from the left navigation.
  2. Select your team.
  3. Choose the Scorecard type (Weekly, Monthly, Quarterly, or Annual).
  4. Set your date range using the date range filter. The export captures only what's currently visible, so set the range before exporting.
  5. Click the ellipsis (⋯) on the far right of the filters bar.
  6. Select Print PDF.
  7. Use your browser's print function (Ctrl+P / Cmd+P) or save the PDF.

 

Exporting Rocks to PDF to print

To print a team's Rocks list:

  1. Navigate to Rocks from the left navigation.
  2. Select your team.
  3. Click the ellipsis (⋯) on the far right of the filters bar.
  4. Select Print to PDF.
  5. Choose your orientation and click Print.
  6. Use your browser's print function (Ctrl+P / Cmd+P) or save the PDF.

 

Printing a meeting agenda PDF

The Meetings tool is shown on the Upcoming tab with Team: Education Team selected. A cursor is hovering over the Print Meeting Agenda button in the upper right of the filters bar.

To print a meeting agenda:

  1. Click Meetings from the left navigation.
  2. Choose a team from the Team dropdown on the filters bar.
  3. Click the Print Meeting Agenda button.
  4. Click the meeting-type tab you wish to print to generate a PDF.
  5. Use your browser's print function (Ctrl+P / Cmd+P) or save the PDF.

 

Exporting your Accountability Chart to PDF to print

The Accountability Chart is shown on the Primary Chart tab. The ellipsis menu is open, displaying two options — Duplicate as draft and Print PDF — both highlighted with a green box. A cursor is hovering over the ellipsis button in the upper right of the toolbar.

To export the Accountability Chart to PDF:

  1. Navigate to the Accountability Chart from the left navigation.
  2. Click the ellipsis (⋯) on the far right of the filters bar.
  3. Click Print PDF from the options shown.
  4. Select between Multi-Page or Single-Page in the “Print Type” dropdown.
  5. Choose Condensed (seats and names only) or Detailed (includes seat titles and top-level responsibilities).
  6. Click Print.
  7. Use your browser's print function (Ctrl+P / Cmd+P) or save the PDF.

 

Note on Accountability Chart seat descriptions: The Detailed PDF option shows seat titles and high-level responsibilities, but it does not capture the full expanded seat descriptions visible when you open a seat card in the app. This is a known limitation. If you need the full text of each seat's description, copy the content from within the app and paste it into a Word document or Google Doc.

 

 

Printing the quarterly export from your V/TO

To print a quarterly export (V/TO®):

Users can export and print their company's V/TO® as a PDF to prepare for a meeting or maintain paper records.

  1. Click V/TO from the left navigation.
  2. Choose a team from the Team dropdown.
  3. Click the Download Quarterly Export button on the far right of the filters bar to generate a PDF.
  4. Use your browser's print function (Ctrl+P / Cmd+P) or save the PDF.

 

Printing PDFs of reviews from the 1-on-1 tool

The 1-on-1 Reviews tool is shown on the Quarterly Reviews tab, filtered to Past reviews for Person: Evan C. One completed review is listed — Q3 Conversation, due Oct 24, 2023 — with a cursor hovering over the View Form button (highlighted with a green box) on the right side of the row.

To export a completed Quarterly or Annual Review to PDF:

  1. Navigate to 1-on-1 from the left navigation.
  2. Click on either the Quarterly Reviews or Annual Reviews tab.
  3. Choose a leader from the Person dropdown.
  4. Click the Past toggle to view previously completed forms.
  5. Click View Form
  6. Use your browser's print function (Ctrl+P / Cmd+P) or save the PDF.

 

Only completed reviews can be exported. In-progress reviews, blank review forms, and bulk exports of all reviews across a team are not currently supported.

 

 

Exporting to a spreadsheet

Most tools support XLSX (Excel) export; the Scorecard / Data tool exports to CSV.

 

Exporting Rocks to a spreadsheet

The exported file includes two tabs: one for Rocks (with owner, status, and due date) and one for Milestones (with completion tracking).

 

Exporting To-Dos, Issues, or Headlines to a spreadsheet

The To-Dos tool is shown on the Team tab with Team: Leadership Team, Owner: All +6, and Archive toggled off. A cursor is hovering over the Download button (highlighted with a green box) on the far right of the filters bar.

To export To-Dos, Issues, or Headlines to a spreadsheet:

  1. Navigate to the tool from the left navigation.
  2. Select your team.
  3. If you want archived or completed items included, toggle Archive on before exporting.
  4. Click the Download button (downward arrow icon) on the far right of the filters bar.
  5. Save the file.

The Issues export produces a single XLSX file with two tabs (one for short-term Issues and one for long-term Issues) regardless of which Issues page you were viewing when you clicked download.

 

Exporting your Scorecard data to a spreadsheet:

To export Scorecard data to CSV:

  1. Navigate to the Scorecard from the left navigation.
  2. Select your team.
  3. Choose the Scorecard type (Weekly, Monthly, Quarterly, or Annual).
  4. Set your date range using the date range filter. The export captures only what's currently visible, so set the range before exporting.
  5. Click the ellipsis (⋯) on the far right of the filters bar.
  6. Select Export as CSV.

The CSV includes KPI group names, status, titles, descriptions, owners, goals, averages, totals, and reporting dates. Exporting Scorecard data requires a Manager, Admin, or Owner role.

 

Changing the file type

Spreadsheet exports from Ninety default to .xlsx format, which opens natively in Microsoft Excel.

To open the file in Google Sheets:

  1. Go to your Google Drive.
  2. Click New in the upper left.
  3. Click File Upload from the popup menu.
  4. Select the downloaded file from Ninety.
  5. Click to open the file once the upload is complete.

 

To convert the file to .csv — option 1 (rename):

  1. Open your downloads folder.
  2. Right-click the file.
  3. Click Rename.
  4. Add .csv to the end of the file name.

 

To convert the file to .csv — option 2 (Excel):

  1. Open the downloaded file in Microsoft Excel.
  2. Click File, then Save As.
  3. Choose CSV from the format dropdown.
  4. Click Save.

 

Exports are team-by-team — no bulk export

Every export in Ninety is scoped to a single team at a time. There is no button that exports all teams' data at once. To export data for multiple teams, you will need to repeat the export steps for each team, selecting a new team from the dropdown each time.

If you manage ten or more teams and need a bulk export, contact Ninety Support and request a bulk data export. The support team can prepare a comprehensive export across all teams in your account. Allow up to 72 hours for this request to be fulfilled.

If your subscription has been cancelled or downgraded to the free plan, you will lose access to the self-serve export options within the app. Your data is not deleted, but the tools become inaccessible until you reactivate. If you need to export data after cancellation, contact Ninety Support

 

What can't be exported — and your options

Some tools and data types do not support self-serve export. The table below lists these limitations and the available workarounds.

Troubleshooting

The PDF doesn't reflect the Owner filter I applied. The Owner filter controls what's displayed on screen, but it does not carry over to the PDF — the PDF exports all items for the selected team. This is expected behavior. If you need an owner-filtered view in a spreadsheet, export to XLSX instead and apply a filter in Excel or Google Sheets.

The V/TO® PDF is cutting off content. Try clearing your browser cache (select "All time" when clearing) and generating the PDF again. If the issue persists, try a different browser. This was a known bug that has been resolved; if you're still seeing it, contact support.

The Rocks XLSX is missing owner names. This is an intermittent bug. Try refreshing the page and re-exporting. If owner names are still missing, contact support.

The Scorecard CSV shows no data or fewer rows than expected. The CSV captures only what's currently visible. Confirm your date range is set correctly before exporting. If the date range is correct and data is still missing, try a different browser or clear your cache.

The Issues XLSX download says "Short-Term" but I needed Long-Term. The XLSX file always includes both short-term and long-term Issues in separate tabs, regardless of which Issues page you were on when you clicked download. Open the file and check both tabs.

I can't access any export options; the tools appear locked. If your account is on the free plan or your subscription has lapsed, the export icons will not be visible. Your data is not lost. Contact Ninety Support to request an export, or reactivate your subscription to regain self-serve access.
